Volunteer Opportunity: Program Director

THE EXECUTIVE COMMITTEE IS LOOKING FOR MEMBERS TO PUT THEIR NAME FORWARD FOR PROGRAM DIRECTOR BEGINNING FEBRUARY 2027.

VOLUNTEER TO JOIN THE EXECUTIVE TEAM !!

This executive position is key to the smooth running of our society.

Mission: Sharing our Organization

You will be involved in sharing our organization, our mission and our community involvement to those who are unfamiliar with the Society. You will be helping to broaden our reach and help to sustain our membership within the community of Richmond Hill through our meetings and community events.

Responsibilities include:

The main responsibility of the Program Director is sourcing appropriate speakers for the member’s monthly meetings for 7 of the 10 months that the Society has guest speakers. This can be done by recommendations, other Historical Society’s information and other like-community groups. Once a speaker is contacted and booked, you would supply all of the information required to the various people involved with the promotion of the program on the Executive Committee. There would be a conversation with the speaker as to the Society’s requirements for the programs and also any special requirements by the speaker for the delivery of their presentation.

Attending 10 Executive Committee Meetings: September – June each year.

Generally, the time required to attend Executive Meetings would be about 2-3 hours (including transport). These are held the first Wednesday of each month at Delmanor – Elgin Mills on Yorkland Boulevard at 7:00 – 9:00 p.m. Delmanor are our hosts, providing a very nice meeting room and refreshments. Proposals for speakers to be considered for future meetings can be discussed with the committee and finalized for contacting them and making the necessary arrangements. As Program Director you would be a voting executive member. (quorum for meetings has three members).

Attending 10 Monthly Members’ Meetings September – June each year. (if able)

In general it is the Program Director’s responsibility to be available before the speaker arrives for a member’s meeting to welcome them. Any special arrangements that have been discussed can be set up along with the electronic equipment necessary for the presentations. The Society requests that the speakers prepare a presentation of about 40 – 45 minutes in length with some set time to answer questions. The Program Director will introduce the speaker and thank the speaker after the session has ended. The Society does offer honorariums to the speaker and that is presented at that time.

For the past few years we have had our holiday party in December where there is often live entertainment. This can be a joint decision among the Executive Committee members to be arranged and the Program Director usually takes the responsibility (but not always). In January, we hold our Annual General Meeting (AGM) where the new Executive is voted in and annual reports are read. We usually have members get involved with a “Bring & Brag” sharing their favourite artifacts or archival materials with the membership. This has become a very popular part of the AGM. Also for the June meeting (Strawberry Social) we repeat the “Bring & Brag” for the membership entertainment. (So, no speakers for January, June and December).

This position does  require time to get in touch with, arrange with and finalize details with the speakers. All of this can be done via email contact. The responsibility timewise, at the monthly meetings is within the meeting times. At the end of each fiscal year – December 31st, a report of the various speakers and any highlights of monthly activities is required for the AGM package remitted to the Ontario Historical Society) in January of the next year. The executive Secretary collects the annual reports.

Experience: This position requires research, arrangements and co-ordination with Executive members and some public speaking at the member’s meetings. If this position interests you, please contact the Society for further information.

A note from Andrea Kulesh – Treasurer

I have been part of the RHHS Executive Committee for many years. I like to be involved and help out wherever I can. I have surprised myself sometimes in the tasks I have taken on but I have enjoyed every aspect of being on the executive and other committees dedicated to the preservation of our history and heritage.

I acknowledge that I have had the privilege of meeting and working with other very hard working volunteers who tirelessly support the same aims that I do in promoting the mandate for the RHHS.

It’s so simple – just get involved! There are so many plusses to being part of a community group that want to contribute to the City of Richmond Hill. Volunteering gives you a sense of community, a sense of purpose and it can be lots of fun!

Choose something you are passionate about and JOIN!!

Volunteer Opportunity: Treasurer

THE EXECUTIVE COMMITTEE IS LOOKING FOR MEMBERS TO PUT THEIR NAME FORWARD FOR TREASURER BEGINNING FEBRUARY 2027.

Month-to-month reconciliation of the bank account and the financial report prepared from that, for the Executive Committee. The report is read at the committee meetings. A report copy, either hard copy or electronic, is remitted to the Secretary for the monthly minutes.

With the help of the Executive Committee an annual review of the previous year is discussed to prepare a budget generally in February of each year. The budget is drawn up as a Draft – and finalized in the following month. (Set as a general guide).

In addition all expenses are prepared through the Treasurer (via cheque) to any executive member who has pre-paid (with receipt) for a Society expense and for the deposit of all incoming monies from the monthly meetings and events. This can include membership fees, social donations, donations and sales. Each month a cheque is prepared for the honorarium for the speaker at the member’s meeting on the third Tuesday of each month and is given to the President or Program Director to give to the person speaking that evening.

The chequebook is maintained by the Treasurer and all cheques require two signatures, the President and the Treasurer. All income for deposits are prepared and deposited at the Society bank and all income is divided into the various income streams for the monthly financial report.

Attending 10 Executive Meetings: September – June each year.

Generally, the time required to attend Executive Meetings would be about 2-3 hours (including transport). These are held the first Wednesday of each month at Delmanor – Elgin Mills on Yorkland Boulevard from 7:00 – 9:00 p.m. Delmanor are our hosts, providing a very nice meeting room and refreshments.

Attending 10 Monthly Members’ Meetings September – June each year. (if able)

For each meeting the honorarium cheque (in an envelope)  must be taken to be presented to the evening’s speaker. Generally the cheque book is taken to each monthly meeting if there is an expense cheque to be dispersed during the evening.

There are annual reports that have to be prepared at various times during the year. As a charitable organization we must send in a return to the CRA annually. It has to be prepared before June of each year.

In addition to that return, the Society has been applying for a Heritage Organization Development Grant (HODG) annually for many years. It is not a Treasurer’s role to complete this but the Treasurer should be involved with the financial return included in the grant process with whomever is making the application..

This position does not require too much time in general outside of the monthly Executive meeting. The monthly financial report only takes a very short time. If there are special events or fundraising, there can be times where the accounting for deposits can take some time for accuracy.

Experience : If you have previous accounting experience and this position interests you, please contact the Society for further information.
